Here is what a daily report looks like when AI creates it:
DAILY FIELD REPORT
Project: Smith Residence – Kitchen Remodel
Date: April 3, 2026 | Weather: Partly cloudy, 82F
Crew: 4 on site (2 carpenters, 1 electrician, 1 plumber)
Work Completed:
- Cabinet installation completed (upper and lower)
- Electrical rough-in for island outlets finished
- Plumbing stub-outs for sink relocated per client request
Issues: Client requested additional outlet on south wall (change order #3 submitted)
Tomorrow: Countertop template, backsplash prep

The 5-Step Daily Report Process
Step 1: Your crew takes photos throughout the day. Phone camera. Nothing special. They are probably already doing this.
Step 2: At the end of the day, the foreman records a 60-second voice note. Just talk into the phone using this script:
“Today is April 3rd. We are on the Smith kitchen remodel. Weather was partly cloudy, 82 degrees. We had 4 guys on site. Today we finished the cabinets, completed the electrical rough-in for the island, and relocated the plumbing stub-outs. We had one issue – the client wants an extra outlet on the south wall, so I submitted change order number 3. Tomorrow we are doing the countertop template and backsplash prep. No safety issues. That is it.”
Step 3: Photos and voice note go into a shared folder. OneDrive, Google Drive, or even a shared photo album.
Step 4: The automation system processes everything overnight. It reads the voice note, pulls the date and weather, and creates a formatted report.
Step 5: The report lands in your inbox (and your client’s inbox if you want) by 7 AM the next morning.
